Privacy Policy | Proximity

Last updated: November 2025

Proximity is a project developed as part of the Artificial Intelligence course at FIAP - Online 2025 for the Global Solution “Future at Work”. Our purpose is to collapse the gap between people and opportunity so the future of recruiting feels instant, humane, and almost autonomous.

Overview

This Privacy Policy describes how we collect, use, and protect the information you provide when using Proximity. The platform operates on the pillar of “Frictionless Entry”, which means we only collect what is necessary to connect talent and opportunity.

1. Information We Collect

To make contextual connections happen, Proximity processes the following types of information only when it is provided by you through uploads:

  • File Uploads: We process the data contained in the PDF files you upload (resumes or job posts).
  • AI Extraction: Our AI systems parse documents to extract text, skills, experience, and contact details.
  • Contact Information: Email addresses, phone numbers, and social links (for example, LinkedIn) found in uploaded documents.

2. How We Use Your Data

We rely on “Contextual Matching” to connect talent with opportunity. Your data is processed in the following ways:

  • Semantic Analysis: We convert document content into vector embeddings to understand nuance, intent, and potential—beyond keywords.
  • Vector Storage: Processed data is stored in a Vectorize/Qdrant vector database to enable fast and precise semantic searches.
  • Transparent Connection: Public contact information is revealed to the matched party to facilitate direct, human conversation without intermediaries.

3. Data Sharing

As an open-source academic project, we value transparency when it comes to data access:

  • AI Providers: Document text is processed by third-party AI APIs (LLMs) to generate embeddings and extract structured data.
  • Development Team: Data may be accessed for debugging and system improvement purposes solely by the student team: Caio Castro, Felipe Soares, Fernando Segregio, Luis Emidio, Wellington Brito.
  • No Data Selling: We do not sell your information to third parties under any circumstance.

4. Your Rights and Control ("Privacy First")

Consistent with our brand pillars, you have full control over your data. We believe machines work for you, not the other way around:

  • Right to Delete: You can request the full deletion of your data and documents from our database at any time.
  • Refresh: You can re-upload documents to refresh or update your data within the system whenever you choose.

5. Disclaimer (Academic Context)

Proximity is a solution developed for educational purposes. While we use modern technologies to ensure security, the software is provided “AS IS”, without warranty of any kind, as detailed in our MIT License. We recommend that you do not upload documents containing critical sensitive data (such as government IDs, bank details, or health information) that are not strictly necessary for a professional resume or job description.
